What do you consent to when applying for a job with us? 

1. What personal data do we process?

When you apply for a position with us, we process the personal data you submit to us in the recruitment process. This is normally identifying information, contact details, qualifications, work experience, skills and your picture or video. In the later stages of the recruitment process we also collect your country of residence/tax residence, working permit, compensation information, the references you provide us with and the information they share with us.

2. Why do we process your personal data?

We process your personal data for recruitment purposes when we assess you for potential employment. The legal basis for processing your personal data for this purpose is your consent, which you provide by sending us a job application, resume and other documents or information.

You may also choose to join our talent pool. We use this when researching potential new hires. All candidates who send us open job applications will be added to the talent pool for a period of three years. Other candidates will only be added to this pool after collecting an explicit consent.

3. Who is responsible for processing your personal data?

The hiring company stated in the job advertisement is responsible for processing your personal data in compliance with applicable privacy laws in Norway, which also includes the General Data Protection Regulation (GDPR). This company is the controller and is the party we refer to as “us” or “we” in this policy.

4. Do we share your personal data with others?

Sharing your personal data with others is most relevant where we use a recruitment company or if we find that your profile could be interesting for one of the other hiring companies in our group. However, we will not share your personal data with others without asking you first.

5. How long do we keep your personal data?

We retain your personal data for one year after the end of a recruitment process. The end of a recruitment process is the date where a job offer from us is accepted by a candidate for an advertised job opening. Personal data about candidates who are part of our talent pool will be retained for a period of three years.

If you accept a job offer from us, we will not delete your personal data. Instead, we will process this personal data in accordance with our privacy policy for employees.

6. What is your privacy protection rights?

You are entitled to request access to and rectification or erasure of your personal data or restriction of processing or to object to processing as well as the right to data portability.

You may at any time withdraw your consent for processing your personal data. If you choose to withdraw your consent, we will not be able to assess you for employment.

If you have any concerns about how we process your personal data, we appreciate hearing from you. You may also file a complaint with the Norwegian Data Protection Authority.

7. Other processing of personal data in the recruitment process

In the recruitment process, we will not only process the personal data you submit to us through your application, we will also process other information. Your privacy protection rights are the same for this processing as for the processing based on the information you provide to us, see section 6 above.

We carry out a credit check of all candidates who are offered employment with us for positions that is subject to suitability assessments, will be involved in investment services, fund management processes and for positions with control functions, such as compliance and legal, and members of top management. The legal basis for carrying out the credit checks is our legitimate interest of understanding whether your personal financial situation may involve unacceptable elevated risk to our business, cf. GDPR article 6 (1) (f). It is the credit information company carrying out the credit check that is the controller for the personal data processed to perform the credit check. You will receive a letter from the credit information company when the credit check is carried out.     

We complete background checks of all candidates who accept employment with us. The background check is carried out by our partner Semac AS. If you accept a job offer from us, we will share your personal data with our partner for the purpose of carrying out the background check and you will receive more information about the processing of your personal data for this purpose.

If the position you apply for is subject to a suitability assessment pursuant to financial regulations, we will ask you to provide additional information regarding board positions, financial information, reputational information, financial ownership interests and police certificate of conduct. If you are a candidate for such position, you will receive more information. The information relevant to the suitability assessment can be shared with public authorities such as the Norwegian Finance Authority.

We also use your personal data for statistical purposes and analytics of our recruitment process. The legal basis for this processing is our legitimate interests of continuously improving this process and understanding our position in the job market, cf. the GDPR article 6 (1) (f).
